Microsoft Business Central Pricing and User Licensing Options are explained below, then described is the November 2025 Microsoft Business Central Pricing Update.
Microsoft Dynamics Business Central Pricing-Full Users:
Microsoft Business Central Full Users: Full Users are the users whose work requires the use of the feature-rich business applications functionality. Examples of full users are salespeople, customer service representatives, finance employees, controllers, and supply chain managers. These users have also been referred to in the past as “Pro users” or “Power Users.” These full users are licensed with a Dynamics 365 Business Central subscription on a per-named user basis and can choose between either the Essentials or Premium versions. An important note is that new customers must select either the Essentials Version or Premium Version of Business Central.
Microsoft Business Central Essentials Licensing.
The Essentials Version of Microsoft Dynamics 365 Business Central offers robust business functionality across Financials, Supply Chain/Inventory Management, Project Management, Purchases, Payables, CRM, Human Resources, Warehousing, reporting, and more.
- The November 2025 Microsoft Business Central Pricing Update will change the Essential Licensing to $ 80/named user/month. (previously $70/user/month).
- Storage has also been increased to 3 GB, from 2 GB.
Microsoft Business Central Premium Licensing.
The Premium licensing includes all of the functionality in the Essentials version and enhances the ERP solution further with 2 powerful additional components: Service Management and Manufacturing.
- The November 2025 Microsoft Business Pricing Update will change the Premium Licensing to $110/named user/month. (previously $ 100/user/month).
- Storage has also been increased to 5 GB, from 3 GB.
Microsoft Dynamics Business Central Pricing-Team Members:
Microsoft Business Central Team Members: Team Members often represent a large percentage of users in an organization and may consume data or reports from line of business systems, complete light tasks such as time or expense entry and HR record updates, or be heavier users of the system, but not require full user capabilities. These additional users are licensed with Dynamics 365 Business Central Team Members.
- The November 2025 Microsoft Business Pricing Update for Team Member Licensing is still $8/named user/month. (No Change).
The Dynamics 365 Business Central Team Members subscription is a “named user” subscription designed for users who are not tied to a particular function, but who require basic Dynamics 365 functionality. This license includes read access, and some write access for select light tasks across Dynamics 365 Business Central functionality for a given tenant.
Dynamics 365 Business Central Team Members users can do the following:
- Read anything within Dynamics 365 Business Central
- Update existing data and entries in Dynamics 365 Business Central – existing data are records like customer, vendor, or item records that are already created. Entries mean entries on which it is specifically allowed from an accounting perspective to update specific information. (e.g. due date on customer ledger entries)
- Approve or reject tasks in all workflows assigned to a user • Create, edit, delete a quote • Create, edit, delete personal information
- Enter a time sheet for Jobs
- Use PowerApps for Dynamics 365
Microsoft Dynamics Business Central Pricing-Device License:
Microsoft Business Central Device Licenses: This license is used in situations where there are multiple Business Central users sharing a single device. Examples of a Device License include but are not limited to:
- Retail Point of Sale (POS) System.
- Warehouse Operations.
- Manufacturing Shop Floors.
Note: As mentioned, the Microsoft Business Central Essentials, Premium and Team Member Licensing are all on a “per user” named basis. The Device License allows multiple users to access Business Central without the need for individual licensing, making it a cost savings option for shared workstation environments.
